Loan Policies and Procedures

How to Arrange a Loan

Kits can be reserved by librarians as well as programmers and activity directors for senior centers, nursing homes, and other group institutions. No loans for the general public will be arranged.

To reserve a kit, fill out a Senior Activity Request Form available at any of the branches of the Carnegie Library of Pittsburgh or any community library in Allegheny County. Requests must be made and processed through the library where the kit will be picked up and returned. Requests to be circulated through the Main Library of CLP can be made in person in the Reference Services or by calling 412.622.3175.

Borrowers will be required to fill out a Senior Activity Kit Request Form, which is in four parts. One part will be given to the borrower, one part will stay with the requesting library for its records and the remaining two will be sent to the CLP Kit Coordinator where one part will travel with the kit, and one part will remain with the Kit Coordinator at the Main Library. Borrowers will also be required to read and sign the Senior Activity Kit Policies form. This form is in three parts. One part will be given to the borrower, one part will stay with the requesting library, and one part will be sent to the CLP Kit Coordinator.

Reservations for the kits must be made at least one week in advance to allow for shipping time. Reservations can be made no more than 60 days in advance. Kits will be assigned on a first come, first serve basis. Only one Senior Activity Kit may be checked out to any one person or institution at a time. Senior Activity Kits cannot be renewed. Every effort will be made to provide the first choice. In the instances where this is not possible, the second and third choices will be taken in order. If none of these requests can be met, the borrower will be contacted by the Kit Coordinator with the options to provide another choice or to cancel the transaction.

Even though the kits will be checked out manually, not by computer, library cards are needed for loan. Some libraries allow for "Institution" cards and others will require that the individual have his/her own card.

 

Returning the Senior Activity Kit

Lending period for Senior Activity Kits will be three weeks. This length of time enables users the time needed to learn how to use the Senior Activity Kits and to present the programs (ie., Pick up the kit the day before the program and return no later than the day after the scheduled program date.) Kits must be returned to the library from which they were borrowed during regular library hours. Although fines will not be charged for overdue kits, repeated or serious abuse of the terms of the lending agreement will result in the suspension of borrowing privileges. Senior Activity Kits cannot be renewed.

It is very important for the next borrower that all kit pieces be returned. Borrowers are to check kit contents against the repacking list provided in the pocket of the kit bag. The name of the borrower, or the institution, should be written in the top row and the items checked off as they are returned to the carrying bag. Notifications of missing components should be made directly to the CLP Kit Coordinator to prevent being charged for the omissions of others. Borrowers may be charged for replacement pieces. Contents of the kit will also be checked upon return to CLP.
